How to Reserve Technology for Your On Campus Event

This article will give you step-by-step instructions on how to reserve technology for your event.

Before reserving the technology for your event, please remember:

  • We must receive technology requests no later than 2 weeks before the event. If your event is less than 2 weeks away, please finish your reservation form on EMS (the scheduling software) as soon as possible and contact the Manager of Learning and Event Technologies immediately at 570-372-4245 to see if accommodations can be made.
  • Each space on campus has different capabilities in terms of technology, so please make sure the venue you are booking has the technology capabilities you are looking for. If you have any technology related questions please refer to TDX Article Technology Offered in the 5 Main Venues on Campus OR contact the Manager of Learning and Event Technologies, Jesse Neitz, at 570-372-4245.

 

Step 1: You can reserve the technology you need for your event when you book your venue on EMS at ems.susqu.edu. Log in into your account using your User Id (the first half of your SU email address) and your password (the same as your email). Once logged in, select the “Book Now” button by the correct form as shown below.

 

Step 2: The reservation form has 3 steps: Rooms, Services and Reservation Details. Once you've selected the date(s), start time, end time and location you'll be able to choose technology for your event in step 2: Services.. If you need help with steps 1 or 3 of this form please contact the Office of Event Management at 570-372-4354 or email oem@susqu.edu.

Step 3: Under Services, look for the section labeled A/V Equipment (typically at the top of the form). Each venue will have a different list of frequently used technology in each space. Some outdoor venues will not have any technology options listed, but technology may still be reserved. If this is the case, please contact the Manager of Learning and Event Technologies, Jesse Neitz, at 570-372-4245 to discuss.

 

Step 4: Each piece of equipment is categorized. Open a category by clicking on the chevron then on the name of the piece of technology you need.

Once clicked, a small window will pop up. Some technology will include additional details. To add a device to your “cart,” change the quantity to the number you need by pressing the "-" or "+" symbols. You can also add any special instructions for the technology, if applicable. Once you are done, click OK. Now the technology is added to your cart. Do this same process for each item of technology you need.

Step 5: After choosing all your technology, move on to step 3: Reservation Details. In this section, you will include important information on your event. Under “additional information” at the bottom of the page, there is an option to “briefly describe the event program for the A/V Technology department.” This is not required, however, any information you can give to the A/V department beforehand regarding your event will be helpful for planning purposes.

Step 6: Once you've created your reservation, the Office of Event Management will send the technology details to the A/V Team (Learning and Event Technologies) and someone from the team will reach out to you.
