What should I know if I am a hiring manager and need to request a computer and/or other technology equipment for my new employee?

General Information / Process:

Susquehanna provides all full-time employees an SU-issued computer on a 1:1 ratio – these are placed on IT’s 5-year replacement cycle. 

For part-time employees (such as part-time staff, adjunct faculty, volunteers, temporary staff, consultants, contractors, and per diem staff), please reach out to IT to discuss available options best suited for your situation.

IT requires three to five business days, at the bare minimum, to provision a SU-issued computer (computers cannot be provisioned until a user account exists, which also requires one additional business day). While these are minimum notice requirements, additional notice may sometimes be required (and is always appreciated), to accommodate staff availability conflicts to facilitate these requests - and to accommodate the ordering/shipping time of any equipment we do not already have in stock.  We typically have a small stock of new standard-model equipment inventory for new hires, so we could prepare computers for your new staff relatively quickly. 

Funding:

Full-time staff (replacement position):  If your new hire is not an incrementally new position and is filling in a vacancy, please let us know the name of the previous employee.  IT will provide the same or similar computer (and accessories) as the position's predecessor.  In this scenario, the equipment is fully supplied/funded by IT.  If the role of the position has changed and necessitates a different model computer to be purchased (or additional accessories to be purchased), the requesting department would need to fund the additional expenditures.

Full-time staff (incrementally new position): If your new hire is an incrementally new position, the IT budget is not able to fund the initial equipment purchase, so we will need an account # to charge the equipment to (IT will then fund the future replacements of the computers, as they’ll be added to our comprehensive computer replacement cycle).

Part-time staff: IT can provide a desktop computer from our spare stock inventory, which we can set up in the workspace you've identified for your part-time staff employee. Please reach out to IT to discuss the details specific to your department's needs.

Full-time faculty (visiting): IT will work with each dean's office to acquire a list of incoming and departing faculty.  IT will use a pool of used (1-4 year old) and new computer stock to equip all incoming full-time visiting faculty with a standard model computer and standard computer accessory package.  Platform requests (Windows / Mac) will be accommodated as best as possible, but cannot be guaranteed, based on current stock inventory.  IT will supply/fund all standard computer/accessory requests for full-time visiting faculty.

Full-time faculty (tenure-track):  IT will work with each dean's office to acquire a list of incoming and departing faculty.  All new full-time, tenure-track faculty are issued a new computer and accessory package from our standardized offering list.  Reasonable requests for customized or more robust specifications for computers can be accommodated if jointly approved by the hiring dean and IT.  For replacement positions, IT will fully fund the new computer and accessory purchase (up to the standardized cost equivalent); any overages will be approved by the hiring dean and funded by the Provost.  For incrementally new faculty lines, all initial technology purchases will be approved by the hiring dean and funded by the Provost.

Adjunct faculty: IT can provide a desktop computer from our spare stock inventory, which we can set up in the workspace you've identified for your adjunct faculty.  Many departments have a shared office space dedicated to adjunct faculty.  Please reach out to IT to discuss the details specific to your department's needs.

Equipment and Pricing Details:

Current 2024 equipment prices are estimates, and are subject to market adjustments:

PC Notebook: $995.00

Recommended but, optional accessory package (27” video-conferencing docking monitor, wireless keyboard, and mouse): $628.00

Mac Notebook: $1460.00

Recommended but, optional accessory package (27” video-conferencing docking monitor, wireless keyboard, and mouse): $628.00

See the attached documents for standard computer specifications and additional PC and Mac accessories that are available.  Specifications will be updated annually (Jan-March time frame).

Additional information about Mac requests: Due to the overall purchase, repair, licensing, and replacement costs associated with a Mac, a Mac cannot be requested based purely on preference, a business need must exist.  Please articulate the business need with your request.  Supervisor and IT approval is required, so that we can ensure that the requested computer is best suited for each employee’s professional computing needs.

Additional information about custom computer specifications:  If your employee requires a custom model computer due to higher resource demands or special features, please reach out to IT for a custom quote.  A business need must be articulated to align with the caliber of the request.
