What should I know if I am a hiring manager and need to request IT resources for my new employee?

The following tasks will automatically occur for traditional employee onboarding, following account creation:

  • A desk phone and extension will be issued (typically if predecessor is named in account creation request, then the previous employee’s extension is assigned to the new employee).   A voicemail box will be provisioned.
  • Printing access is setup – auto mapping to all printers in employee’s building & billing configured to employee’s primary department.
  • Basic access to “universal” systems is granted (Office 365 – including email and OneDrive, Zoom, lab/classroom computer login, eduroam WiFi access, myNest homepage, employee data like timesheets/compensation, LinkedIn Learning, DocuSign, etc.)

(You may need to make arrangements for these resources for irregular employment scenarios such as graduate assistants, volunteers, temporary staff, consultants, contractors, and per diem staffing.)

Some items that are not automatic which you’ll need to submit service requests for if applicable (ideally individually to speed up delegation to the correct IT staff members simultaneously):

  • Access to shared hopper drives (provide name, like \\hopper\admin\FinAid)
  • Colleague access (provide details on which access – or if unsure, you can say, “same as employee x”)
  • Access to any specialized enterprise applications for your department
  • Custom myNest access (to edit a departmental section or to post to campus news, for example)
  • Access to SharePoint Online sites (if the site owner cannot do this)
  • Access to a Team in Microsoft Teams (if the Team owner cannot do this)
  • Creation of an SU Adobe Creative Cloud account
  • Any special phone configurations (button for shared extensions, etc.)
  • Printing to any additional charge accounts (other than primary departmental account)
